Welcome to VitalEdge Institute LLC! These Payment Terms & Conditions outline the policies governing payments, cancellations, refunds, and late fees for our training services. By booking a training session or making a payment, you agree to the terms outlined below.
1. Payment Terms
1.1 Payment Due Date
Payment is due upon receipt unless otherwise agreed in writing.
Corporate clients with approved Net 15 or Net 30 terms must pay within 15 or 30 days from the invoice date, as specified in the agreement.
1.2 Accepted Payment Methods
Credit/Debit Cards (via secure payment gateway)
Bank Transfers / ACH Payments (details provided upon request)
Company Checks (must clear before training is confirmed)
Purchase Orders (POs) (for approved corporate clients)
1.3 Payment Processing & Security
All online payments are processed through secure, PCI-compliant payment gateways.
We do not store credit card details.
A confirmation email will be sent upon successful payment.
2. Cancellation, Rescheduling, & Refund Policy
2.1 Cancellations & Refunds
Cancellations must be made at least 48 hours in advance to avoid fees.
Cancellations made within 48 hours of the scheduled training will be charged 50% of the total invoice amount.
No-shows or same-day cancellations will be charged 100% of the total invoice amount.
Refunds are not available for completed training services.
2.2 Rescheduling Policy
Clients may reschedule training at no additional charge if the request is made at least 48 hours in advance.
Rescheduling requests within 48 hours of training may incur a rescheduling fee of 25% of the total invoice amount.
Rescheduled sessions must be completed within 30 days of the original training date.
3. Late Fees & Non-Payment
3.1 Late Fees
Payments not received within 7 days of the due date will incur a late fee of $25 or 5% of the outstanding balance (whichever is greater).
An interest charge of 1.5% per month (18% annually) will be applied to any unpaid balance.

Certification cards will not be issued until full payment is received and processed, unless previously
3.3 Collections & Legal Action
Accounts overdue by 90+ days may be referred to a collections agency or subject to legal action.
Any additional costs incurred due to collection efforts, including legal fees, will be added to the outstanding balance.
4. Certification Agencies
VitalEdge Institute LLC offers certification training through the following agencies:
American Heart Association (AHA)
AHA certification is valid for two years from the issue date.
AHA strictly prohibits late recertification beyond the valid date range.
AHA requires in-person skills verification for all certifications.
AHA allows blended learning, where online coursework is followed by in-person skills testing.
All AHA courses are compliant with OSHA and industry standards.
American Safety & Health Institute (ASHI)
ASHI certifications are valid for two years from the issue date.
ASHI courses follow the latest ILCOR (International Liaison Committee on Resuscitation) guidelines.
ASHI certifications are accepted by employers and regulatory agencies in Virginia.
ASHI allows blended learning, where online coursework is followed by in-person skills testing.
Certification Card Issuance Timing
Certification cards are issued only after successful completion of training and full payment is received, unless prior arrangements have been made.
Returning customers will be issued certification cards immediately after course completion unless otherwise discussed.
Digital certification cards will be sent within 48 hours after training completion for new customers or unpaid invoices.
Physical cards (if applicable) will be mailed within 5-7 business days.
Lost certification cards can be reissued for a $15 reprint fee.
5. Disputed Charges
If you believe there is an error in your invoice, please contact us within 5 business days of receipt.
Disputes must be submitted in writing to admin@vitaledgeinstitute.com.
Failure to dispute charges within this timeframe constitutes acceptance of the invoice.
6. Tax & Surcharges
Sales tax will be applied to invoices where applicable.
Credit card payments may be subject to a processing fee of up to 3% (if applicable, this will be disclosed before payment).
7. Policy Updates
VitalEdge Institute LLC reserves the right to update or modify these Payment Terms at any time.
Continued use of our services after changes constitutes agreement to the revised terms.
